Who we are looking for...

We are looking for a sharp Marketing Coordinator who will organize workflows, manage internal and external marketing efforts, coordinate day-to-day activities that lead to the completion of projects and tasks, and serve as a communication hub for the Marketing team. 

The Marketing Coordinator will add value and improve outcomes through team-based interaction, project management, goal setting, and support. S/he brings superior organizational skills to keep projects, tasks, events, and new initiatives on track. This is a demanding and diverse role that includes office coordination, administrative tasks, project management, and creative work to assist the marketing channel. Also, there's an opportunity for occasional travel to attend dynamic trade show events.

What you’ll do (responsibilities and outcomes):

  • Create and manage project plans for various marketing and event activities.
  • Coordinate trade show events before, during, and after each show, including:
    • Booking hotels, flights, and solidifying itineraries.
    • Making sure our flyers, order forms, lead forms, and emails are ready before each show and accurate to event offers, details, and dates.
    • Packing and shipping of booth marketing materials, banners, TVs, and other related items for use on site.
    • Overseeing booth setup and teardown for large trade shows.
    • Helping manage the trade show floor on-site during key events (about 4 times a year)
    • Debriefing after shows, collecting and communicating rollup of show stats for the Leadership Team.
    • Creating monthly preview and wrap-up of shows for rest of company, helping connect people on the road to the people in the office.
  • Keep the marketing team on track with detailed notes and timely support to stay on top of projects, due dates, tasks, etc.
  • Order and maintain inventory for all promotional items (company swag) meant for external customers/prospects and internal employees; coordinate with departments across the company to ensure promotional needs are identified, fulfilled and budgeted/accounted for properly.
    • Ensure promotional items comply with brand guidelines and are approved by managers 
    • Ship t-shirts, popsockets, and other swag per Sales/Marketing needs
    • Maintain shipping/receiving records - log, document where it’s going, when it arrived, etc.
  • Expense Reports
    • Process the Chief Marketing Officer’s Concur Travel Expense Reports, allocate charges and upload receipts
